- Whether portions were withheld or redacted.
Without those details, researchers can struggle to determine whether a document represents an official assessment, an informal communication, a duplicate copy, or a fragment of a much larger file.
The importance of metadata becomes even clearer when archives contain records from multiple agencies. Several categories of metadata are especially important.
Descriptive metadata
This includes record titles, summaries, subject descriptions, keywords, and catalogue text. These fields help users discover records through searches and understand their contents before opening them.
Administrative metadata
Administrative information identifies the originating agency, office, transfer history, accession details, and record identifiers. This information helps establish authenticity and accountability.
Temporal metadata

Access and redaction metadata

Why poor descriptions weaken public access
Disclosure advocates often focus on classification decisions, but poor metadata can obstruct access even when records are technically public.
A vague title such as “Correspondence” or “Memorandum” may satisfy administrative requirements while providing little indication that a record concerns UAP investigations. Similarly, an incomplete series description may hide connections between records held by different agencies.
Poor metadata creates several practical problems:
- Relevant documents become difficult to find through catalogue searches.

How researchers use provenance and series context
One of the most important archival concepts is provenance: preserving information about who created a record and under what circumstances.
For UAP research, provenance helps answer critical questions. Was a document produced by intelligence analysts, aviation regulators, military operators, scientific staff, or political leadership? That makes metadata more than an administrative afterthought.
